Reconciled books from your clients, every month.
YayBooks is the AI bookkeeper your small business clients use. It keeps the books current from bank, card and Stripe data. You get your own login, a real general ledger, reconciled accounts, and a month-end close that you review and sign off.
An AI bookkeeper with a real ledger, and you in the loop.
The AI does a bookkeeper's routine work: it brings in activity, classifies it, matches transfers and receipts, and asks about what it can't tell. A deterministic accounting engine posts every entry, keeps the ledger in balance and produces every number you see. A person signs off each month.

How YayBooks knows where a transaction goes.
The chart of accounts comes from setup or from QuickBooks. For each transaction, the AI looks at what a good bookkeeper would look at, and then makes one of three choices. The limits you set decide what it may record on its own.
Built to be checked
- Every entry says why. "Because: 11 earlier AWS entries are Hosting", with the receipt attached.
- Trust is earned. A pattern is trusted only after a person confirms it. A correction resets it. Unknown payees start in review.
- You can teach it. Change a category and choose "Use Hosting for AWS from now on". You can undo it.
- The AI never makes up a number. The engine posts every entry and produces every report figure.
Proof before a switch
For a client coming from QuickBooks, YayBooks runs its own bookkeeping over past months and compares the categories with what QuickBooks has. You see the agreement rate next to the number of transactions compared, so you know how far to trust it before anyone relies on it.
From the last transaction to a locked month.
What the month-end check covers
- Nothing waits in To do. No suggestions to approve and no questions to answer.
- Each account ties out. Book balances match the statement at month end, or the difference is listed.
- Coverage is complete. Each account has activity and statements for the whole month, with gap dates if not.
- Nothing is left unlinked. Accounts are linked, and accrual items and supporting documents are in place.
Sign-off, lock and reopen
- A person always publishes. No automation and no AI assistant can publish or reopen a month.
- You confirm it. Publishing asks you to tick "I checked that all records for September are included and reconciled", and you can add a note for your client.
- Published means locked. The owner sees final reports. Nothing changes until a person reopens the month, and the earlier version is kept.
- Catch-up in bulk. Several ready months publish oldest first, each with its own publication.
How you and your client share one set of books.
| Business owner | Accountant | |
|---|---|---|
| Access | Owns the business in YayBooks. Invites the accountant from Settings, Team. | Own login to that business, at no cost. A firm's staff see only their assigned clients. |
| Daily work | Nothing, beyond forwarding receipts. | Optional. Review suggestions as they come in, or at month end. |
| Questions | Answers facts about the business, in the app or by email reply. | Gets the accounting judgment calls, and can send the client questions of their own. |
| Month end | Sends missing statements when asked. | Reconciles, clears the check, and publishes for a firm's client. |
| Reports | Plain-language final reports after publishing. | P&L, balance sheet, cash flow, trial balance, ledger entries and exports. |
Without an accountant, the owner of a personal workspace reviews and publishes their own months.
The right question to the right person.
- Facts go to the owner. "Was the $1,240 AWS payment for hosting?" Judgment calls go to the accountant.
- Fewer, better questions. At most 10 at a time. Similar items, like several payments to one payee, become one question.
- Answer anywhere. In the app, or by replying to the email. Each reply joins the question's thread.
- Unclear answers come to you. If YayBooks can't decide from the answer, it passes the question to the accountant.
You decide what it does on its own.
Each kind of work is Allowed or Asks first. Above a dollar amount you set, nothing is recorded or approved without a person. A connected AI assistant follows the same limits and cannot approve its own work.
- Activity lists everything in plain sentences: who did what, to which record, and why.
- The audit history is tamper-evident. Each event links to the one before it, so an edit outside the system shows.
- Corrections keep the original. Nothing is overwritten. You can trace any figure back to the bank activity.
Your client's data, handled like it matters.
Access
- No bank passwords, ever
- Read-only bank access; Stripe data is imported only
- 2-step sign-in and passkeys
- See and sign out signed-in devices
AI and data
- Business data is not used to train AI models
- Bank text, emails and files are treated as data, never as instructions
- Suspicious emails are held for a person
- The Help assistant never sees company data
Retention
- Export reports and data at any time
- Deleted companies are removed after 72 hours
- Backups expire on a fixed schedule
- Preparing for a SOC 2 audit (not claimed today)
A package that saves you the cleanup.
- A tax-mapped trial balance. Each account mapped to a form line. Change any mapping, and YayBooks keeps your change.
- Files for your tax software. Layouts for UltraTax CS, Lacerte, Drake and ProConnect, plus a line summary.
- A Tax Assumptions sheet. How each item is handled, and what you still decide.
- Statement coverage for every account and month, so you know the year is complete.
Your judgment still applies
The mapping uses book amounts. It does not compute tax, tax depreciation, cost of goods sold or deduction limits. Tax exports are drafts for a qualified professional to review. Treat YayBooks like any client-provided books: structured, reconciled and reviewable, and still subject to your professional judgment.
Ask them to invite you. It's free.
The owner invites you from Settings, Team. You get your own login to that business, with every transaction, document and change.
Offer this to every client, under your firm's name.
